First community free.
Then $25 a month each.
That is the whole HOAcrew subscription. Services are billed by the companies you contract with, each on its own invoice — one is opened below, itemized.

For the companies doing the work
You do the work? Your prices are a different list — what it costs to join, to be approved with a firm, and the optional subscription on top.
One community, or a portfolio of them.
Both run the whole product. Enterprise adds the machinery a firm needs to hold thirty of them at once.
Who it is for
A single community, run by its own board or its manager.
Free
Your first community is free. Any community after it is $25/mo.
- Every vendor vetted, and every insurance certificate checked before they can bid
- Unlimited proposals, unlimited requests, unlimited records
- The full map, the full history, and every report a vendor files
- A manager seat and a board seat included, and support from a person
Who it is for
A management company or a portfolio, holding many communities on one account.
$25/mo per community
Your first 3 communities are included with the firm account. After that it is the same $25/mo each.
Everything in Free, and the 5 things a portfolio cannot run without.
Set out row by row underneath, beside what a single community does instead.
- Provision seats in bulk
- FreeInvite people one at a time
- EnterpriseInvite a whole board, or a whole regional team, in one pass. Each person takes up their own seat on their own time.
- Restrict access to your own email domain
- FreeAccess by invitation
- EnterpriseVerify your domain once with a DNS record. After that, only people on it can join your account, at the access level you set.
- Decide what each seat can reach, portfolio-wide
- FreePer community, by role
- EnterpriseA regional manager sees their region; an accounts person sees money and not maintenance. The database enforces it, not just the buttons.
- Hold communities in more than one state
- FreeYour own state’s rules
- EnterpriseEach community stays filed under its own state authority, license and inspection rules, and one view reads across all of them.
- One compliance view across the whole portfolio
- FreeYour community’s own view
- EnterpriseEvery vendor, certificate and expiry you hold, on one screen, sorted by what lapses first. The alternative is thirty tabs.
All 19 of these are in both plans, at every size.
You are billed for communities and seats. Vetting, insurance checks, proposals, the board vote, the record and the exports are never metered.
- Auto-mapped common area and acreage
- Vendor credentialing
- Invite your own vendors
- Request proposals
- Run the board vote on the stack
- Select and contract on HOAcrew

- Manager and board seats
Billed monthly per community. We set your plan up with you directly, you add and remove communities whenever you like, and nothing in the product is gated on it.
Three readers, one meter.
Board, manager or firm — you are billed for communities and seats, and nothing else.
- One community
Run by its board, or by the manager it hires. The first community is free — one, not the three a firm account gets.
- A community manager
One operator, several associations. Each is its own community on the meter — the first free, the rest the same price each.
- A management company
Running a management company? Your firm account includes three communities; after that it's the same $25/mo each.
You do the work? Vendor pricing is its own page.
What it costs to join, to be approved with a firm, and the optional subscription on top.
Somebody has to keep this clipped.
The subscription above runs your account. The invoices below pay for the work on ground like this.
Sales tax and payment processing are their own lines.
The vendor's price for the service, tax on its own line, processing on its own line, then the total. The HOAcrew subscription bills separately.

Each company keeps its own invoice, its own numbering and its own due date. You pay them one at a time, to the company that issued each one. What HOAcrew standardizes is the terms.

What the community is charged
| Pool care — MarchThe company's own line items for the work, at its own prices, summed. | $1,020.00 |

Payment processing — its own line
Nothing is added here. This invoice is paid to the company that issued it, on the remittance details printed on it.
An example month. The $1,020.00 service figure and the other two invoices in the rail are illustrative; every other number on the invoice above — the tax and the amount due — is not drawn but computed, live, by the same billing code that prices a real invoice.
Answered in a line each.
- Is the free plan cut down?
No. Every feature is in it. A paid plan buys more communities, never more capability.
- How do the rest of my board get in?
Whoever holds the community’s account issues them a seat from Board Seats in the console: their email, a tick against what they may see, and a link they sign in with. They reach the work orders, the schedule, the proposals and the votes — never the invoices or the settings. There is no charge on your account for the extra seats today.
- How is the first community free?
Two other charges carry it: the companies that bid pay their own fees to be here, and communities after your first are on the meter. That is enough to fund the platform, so your first one runs on the full feature set for nothing.
- What sets the service price?
The proposal your board accepted. Whoever set that figure — a company bidding, or HOAcrew estimating from your measured scope before anyone has bid — it is what the company doing the work invoices and is paid, in full.
- What counts as one community?
One association, whatever it holds — two pools, three entrances and a clubhouse are still one community. A second association on the same account is the second one.
- Do I have to sign up to see a number?
No. The calculator gives an estimate range for your address with nothing held back. An account is what publishes your scope to vetted companies.
Companies propose. Your community picks.
Every proposal arrives in full, side by side. Whoever signs for the community — a board officer or the community manager — signs one, and the contract is between the community and that company.
Example — one scope, four answers
One scope for twice-weekly pool care at a 214-home community drew four proposals from insurance-current companies, ranging from $980 to $1150 a month. The community selected Tidewater Pool Care at $1020 a month, for twice-weekly service with quarterly filter service included — not the lowest price — and contracted with them directly. Sales tax and payment processing are their own lines on the invoice, never folded into a company’s price.
